These Terms & Conditions apply to all bookings with Vietnam Essence Travel.

1. Booking & Payment

• For 3–4 star packages:
  To confirm the booking, customers are required to pay a 30% deposit of the total land tour cost, together with 100% payment for domestic flight tickets and visa fees (if arranged by us).

• For 5-star packages:
  • 100% payment for hotel bookings is required at the time of confirmation.
  • 100% payment for air tickets is required at the time of booking (non-refundable).
  • Additionally, a 25% deposit of the total land tour cost is required.
• Visa fees and air tickets (if applicable) must be paid 100% in advance in all cases.
• The remaining balance must be paid upon arrival in USD or VND cash.
• Any bank or transaction fees are to be covered by the customer.

2. Cancellation Policy

Our cancellation policy is designed to ensure fairness for both customers and service providers.

For 3–4 star tour packages:

• More than 30 days before departure: Full refund (excluding airfare, as flight tickets are non-refundable, excluded visa ).
• From 15 to 29 days before departure: 50% of the total tour price will be charged.
• Less than 7 days before departure or no-show: 100% of the total tour price will be charged (no refund).

For 5-star tour packages:

Due to strict cancellation policies from luxury hotels and premium services, cancellations are highly restricted.

• Cancellation requests made within 60 days before departure may incur significant charges.
• Please contact us directly for detailed information and specific conditions.

All cancellation requests must be submitted in writing via email or official communication channels. The cancellation date will be based on the time we receive the request.

Air tickets are strictly non-refundable in all cases.

We appreciate your understanding and cooperation.

3. Amendments

• Any changes to confirmed bookings (dates, services, number of guests, etc.) must be requested in writing.
• Amendments are subject to availability and may incur additional charges.
• No amendments can be guaranteed within 7 days prior to departure.

4. Child Policy

• Children under 4 years old (under 1 meter) : Free of charge (no separate seat/bed; sharing services with parents).
• Children from 5 to under 7 years old: Charged 55% of the adult price (share bed with parents, share seats with parents)
• Children from 8 to under 10 years old: Charged 85% of the adult price (extra bed or seat may be included depending on services).
• Children from 10 years old and above: Charged as adults.
• Specific child policies may vary depending on hotels, airlines, and service providers.

5. Travel Documents

• Customers are responsible for ensuring valid passports, visas, and other required travel documents.
• Vietnam Essence Travel is not responsible for any issues arising from incomplete or invalid travel documents.

6. Liability

• Vietnam Essence Travel acts as an intermediary between customers and service providers (hotels, transport companies, airlines, etc.).
• While we make every effort to ensure high-quality services, we are not liable for any loss, injury, delay, or damage caused by third-party providers.
• We are not responsible for any changes or disruptions caused by force majeure events, including but not limited to natural disasters, weather conditions, government restrictions, strikes, or pandemics.

7. Complaints & Claims

• Any complaints must be reported immediately during the tour so that we can resolve them promptly.
• Claims submitted after the completion of the tour must be made in writing within 7 days.

8. Acceptance of Terms

By confirming a booking, the customer acknowledges that they have read, understood, and agreed to these Terms & Conditions.
